Wolves Baseball Boosters Club Information

 

Wolves Baseball Boosters is a volunteer, parent-driven club whose sole purpose is to support our players and the Grandview baseball program through service and fundraising. Our club functions year round and meets regularly throughout the year. Our club by-laws are available to download from our website. The Wolves Baseball Booster Club is a 501C3 non-profit organization and benefits every level of baseball at Grandview.

 

We have developed this handbook to provide you with some basic information about our club and the Grandview baseball program. If you have any questions contact a board member or the head baseball coach.

To receive bulletins from the coaches and the Booster Club, visit the website and register your email address. Check off both Coaches Corner & Booster Club E-news, in order to receive all emails.

Our website is a primary source of communication and information for the baseball program.   Schedules, player stats, game photos, field directions and booster club forms are posted on this site. Coaches also use the website to communicate game and practice changes/cancellations. That information is posted on the site and sent out via email to website subscribers. If you have trouble receiving the emails messages, downloading forms or navigating the site, please contact our webmaster.

 

Baseball Booster Club Dues

The membership fee of $150 per family is by calendar year and is due by the October 15th Membership Meeting. With your Booster Club Membership you receive:

  • 1 vote per family at membership meetings whenever a vote is called
  • Free player meal & discounted family meals at the Spring Banquet
  • Free admission to all summer tournament home games hosted by Grandview
  • 1 Program Guide/Yearbook to each member
  • $15 merchandise coupon
  • 1 Auto decal

 

The money collected goes into the general fund and helps cover the cost of annual expenses including: administrative expenses, program guide production, website renewal, field & equipment maintenance, concession stand upkeep, spring banquet (audio/visual equipment fees, program video, coaches’ and players’ meals), and annual events support.

Annual Events

Annual Events include: Meet the Coaches Parent Social (January), First Pitch Dinner (March), and End of Year Baseball Banquet (May).

Team Merchandise & Apparel: Off-field wear & merchandise for players & parents are available from our Wolf Apparel Managers. Merchandise and apparel will be available at club meetings and at the Snack Shack during the season. Also order info is on website.

 

Team Uniforms

Orders for spring player uniforms/gear are handled by coaches and are taken in late November or early December  prior to the holidays and again early in the new year. Please see page 7 “2019 Spring Apparel Baseball-Athletic Packet, Fees, Team Uniforms, & Spring Trip”

 

Volunteering Opportunities

 

There are many areas in which you can get involved. You can volunteer in the Snack Shack during your son’s games, serve on the Board of Directors, keep the scorebook for your team, assist on field maintenance days, set-up and provide refreshments for club meetings, chair a committee, and help with our social events: Meet the Coaches, the Spring Banquet, and the First Pitch Dinner. Snack Shack

Our Snack Shack is a way for us to raise money and to support the spring and summer baseball programs. Revenue generated by the Snack Shack goes into the general fund. The Snack Shack is open during home games. Snack Shack activities are not limited to selling concessions and cooking dogs & burgers; volunteers are also needed to operate the scoreboard, music and PA system.

 

A note on Music: In order to maintain a good relationship with those who live near our field, we do not play music before 10:00 a.m. Please keep the music at a reasonable level; the 2nd has mark on the master volume for music and the 4th has mark for announcing.

 

We require that every family work at least two games during the regular spring season. The parents  of the team playing on the varsity field operate the Snack Shack. If there is not a game on the varsity field, but there is a game on the auxiliary field, those families would run the Snack Shack for their team. Team Mom will send out volunteer schedule at the beginning of the season requesting that each family sign up for various slots.

 

Procedures for opening and closing the snack shack are posted on our website and inside the concessions stand. Our players receive discounted prices for Gatorade, water and meals. We provide our coaches  and umpires with drinks free of charge.

 

Field Days

Grandview High School is fortunate to have one of the finest baseball facilities in the state, and the  teams take great pride in keeping it that way. A few times throughout the year, the coaching staff will call upon players and families to donate time for field preparation work. These “Field Days” are usually

in the late fall/early spring leading up to the high school season. Field duties vary buy may include snow removal, grass and infield dirt prep, installation of nets/screens, minor construction projects, concrete work, etc. The coaching staff will send out an email in advance of the scheduled Field Day seeking volunteers.

 

CHSAA District Tournaments

When Grandview makes post-season play and is designated a host site for the District Tournament, volunteers from the JV, sophomore, and freshman teams are needed to work the gates and the Snack Shack and the BBQ grill. The Varsity team parents hopefully do not need to volunteer so that they may watch their son play in this hard-earned, exciting tournament.

 

Team/Player Fundraising Opportunities

Fundraising is another way to participate in the baseball program and to support your son’s sport. Through fundraising we can supplement the baseball program & provide an exceptional facility for the boys the use.

 

We also provide each player with an opportunity to raise money for his individual baseball expenses. These fundraisers include selling ads for the program guide, scoreboard signs, and outfield banners, and by selling Rockies Tickets. Through these programs, players earn credit towards summer baseball fees.

 

Rockies Tickets (team/player fundraising opportunity)

Our primary source of funding comes from the Rockies Ticket Fundraiser. The Rockies offer this fundraiser to a select number of schools each year. They sell us 1,500 tickets at a discounted rate, for us to sell at a price of our choosing. As a reward for purchasing those tickets, they give us an additional 1,500 tickets to various games, which we also sell. This provides our club with 3,000 tickets to sell

We owe the Rockies this amount regardless of the number of tickets that we sell. The advantages to us are that we keep all of the remaining proceeds, our Varsity plays in a game at Coors Field, and our top Rockies ticket sellers get to participate in pre-game warm ups. All players who sell their minimum 36 tickets and are in good academic standing will travel to Coors Field and attend the game. All players are required to sell 36 tickets in order to ride team bus & participate/play at Coors Field.

 

We have participated in this program over the years and as long as we continue to sell our tickets from the Rockies, we will be able to continue playing at Coors Field and keep our tradition for the baseball program.

 

Grandview Baseball Program Guide (team/player fundraising opportunity)

The 8.5 x 11 guide features team pictures and statistics, and information about our coaching staff and the Grandview Baseball program. It is distributed free to booster club members, patron advertisers, college recruiters and professional baseball scouts. Additional Program Guides are available for purchase at our concession stand or from Catrina Smith in the Athletic Office.

 

Program Ads: Each player receives credit towards summer baseball fees for selling these ads.

 

Personal ads can also be purchased for $5 and are limited to 25 words. Money from personal ads is not included in the earnings program. The deadline to place a program ad is the end of February.

Scoreboard and Outfield Banner Advertising: A player who sells or renews a banner receives credit for the sale that can be applied to their summer baseball fees. Additional ad contracts can be downloaded from our website.

 

A new banner costs the Booster Club $180; all prices for 1 year, except scoreboard is 3 years.

 

New Outfield Banner:    $600,  $300 credit back to player

Outfield Banner Renewal:    $600,  $400 credit back to player

Scoreboard Sign (3 yrs):    $3000, $2500 credit back to player, 3 yr contract/incl Bus Card Ad

 

 

Hosting Summer League & Tournaments

 

In order to have plenty of coverage during the summer season, families are required to work a determined amount of shifts at the gate, running the Snack Shack, grilling hamburgers and hot dogs, announcing, operating music, or running the scoreboard.

 

King Soopers Cards  (team/player fundraising opportunity)

In 2019 King Soopers Cards will be available for players, these cards are loaded with amounts purchased by the family at their local King Soopers.  Once the money is loaded on the card the player receives 5% of the purchase total back to offset the costs of the baseball program.  Please contact Mary Willard to get this set up or if you have questions. 303-915-8208

 

 

Summer Snack Shack

In the summer, our Snack Shack provides a great service for our players as well as visitors supplying drinks and food to very-hungry/thirsty players and fans. For all of the work involved, an extra benefit is to provide another source of income for the baseball program. During tournament weekends we often earn $1000 in sales. We need volunteers to work during league games & tournaments at the BBQ, the concessions, the gate, the music, and the scoreboard during every game.

 

Gate

Most of our tournaments have a gate charge requiring volunteers to sit at the gate to collect admission. There are two large tables in the snack shack that we pull out and use at the gate. Gates are set up at third base and the batting cages area. Gate fees are usually determined by the tournament director.

Everyone pays to get in to the games with the following exceptions:

  • CHSAA, Coaches, Players, Umpires, Scouts and Coaches wives are free
  • Children 12 and under are free
  • Wolves Booster Club members are free and need to present their family membership pass. This includes all immediate family members as well as grandparents.

2019 Spring Baseball Athletic Packet, Fees, Team Uniforms & Spring Trip

 

Athletic Packet (all forms & activity fees are due to the Athletic Office one week prior to our  first official practice in February.)

 

Each player participating in high school athletics must fill out an Emergency Card and Medical Permission forms contained in the Athletic Packet, and take a physical. You can obtain an Athletic Packet online at: http://grandview.ccsdathletics.org/. If you do not have Internet access, please see the Activities Office. The packet includes a form that requires a physician’s signature clearing your son of participation in high school athletics.

 

Once a completed Athletic Packet and the $90 activity fee are turned in to the Grandview Athletics Office, your student will be cleared to participate. Your student cannot participate in tryouts without  clearance from the Athletics Office.

 

If your student has already participated in a fall or winter sport this school year, there is no need for an additional Emergency Card, Medical Permission Form or Physical Exam. The only requirement is to pay the $90 spring sport activity fee. If you have any questions concerning the Athletic Packet, please contact Catrina Smith in the Athletics Office at Grandview.

Team Uniforms

Orders for spring player uniforms/gear are taken in November prior to the holidays and again in January. The coaching staff will distribute a price list to each of the players that included various items including uniform packages (containing all of the uniform necessities). Players are required to have two pairs of game pants (grey and white) and set of sleeves. Grandview High School provides all players with numbered vests and jerseys for the spring season. These items must be cleaned and returned at the end  of the season.

Spring Trip

During Spring Break, the Varsity and JV teams may travel out of state to practice and play games and/or scrimmages. This trip is not a mandatory requirement to participate in Grandview High School Baseball but offers great competition to prepare for league season. This year the only the Varsity team will be going to Orlando FL.

 

Off-Season Training

 

Winter Workouts-2019-2019

Winter Workouts are for players not involved in another winter sport and run November thru February. Workouts are held at Grandview as well as at Bardo’s in Parker.

 

 

2019 Summer Baseball Season

 

The Wolves Baseball Boosters are responsible for overseeing and supporting the summer baseball program. The summer baseball teams are selected by the Grandview baseball coaching staff at the end of the spring season. We have 3 teams:17U/ Wolves Black,16U/ Wolves Blue 15U/ Wolves White. These teams play 40 – 60 games from Memorial Day weekend through mid-July. Each team’s fees support the cost of coaches’ stipends, uniforms, umpire fees, league fees, tournament fees and field maintenance.

Payments are due in installments beginning in early-April with final payment due late-May.

Payments must be received be final due date in order for player to participate.

 

The 17U team travels to several out of state tournaments. Player travel costs and accommodations  are not included in the team fees. 16U and 15U will travel once during summer and play many local tournaments. 

 

Hosting Summer League Games & Tournaments

In the summer, our Snack Shack is a major source of income for the baseball program, especially during tournament weekends. We need volunteers to work the BBQ, the concessions, the gate, the music, and the scoreboard during every game. All families are required to work a certain amount of shifts determined at the beginning of the summer season. Team moms/dads will help to arrange these assignments.

  1. What is the purpose of the Wolves Baseball Boosters booster club?

The booster club was created to support the baseball program, primarily from a financial standpoint. The mission of the club is to support the development of a strong, nationally competitive, year-round baseball program for Grandview High School. Without the club and without its financial support, it would be difficult for Grandview to remain as one of the top programs in the state. Operating a quality program solely on the small budget provided by the school district would be an enormous challenge. For instance, as you travel to other schools throughout the course of the season, notice the difference in the quality of the playing field. In many cases, there is no comparison.

 

  1. How does the booster club use the money that is raised through its various fundraisers? The baseball program receives minimal financial support from the school district for our baseball facility and field maintenance. General maintenance and field improvements are where the majority of booster club funds go. For example, over the past five years the booster club has purchased or upgraded several items including: New batting cages, Clubhouse, Varsity scoreboard, , Snack Shack Construction, Golf Course Lawn Mower, Laser Field Leveling, and Infield Playing Surface Dirt Replacement. Other improvements of additions in recent years have included dugout concrete pads, fencing, and foul poles. Besides capital improvements, the club will also supplement some of the assistant   coaches who would otherwise receive no compensation for hundreds of hours of time dedicated  to year-round coaching activities. Funds also go to cover coaching clinics, training equipment, and occasional travel (supplement district, state or national championship travel cost for team   and coaches).

 

  1. What are the booster club’s primary fundraisers?

The Colorado Rockies Ticket Sales Fundraiser is the club’s primary source of income. As an added bonus, besides raising more than $30,000 per year, Grandview is permitted to play one of its games at Coors Field in the spring. The operation of the Snack Shack also brings in additional income. Although the main purpose of the Snack Shack is to provide food and drink for players, coaches, and fans, the Snack Shack will also raise approximately $3000 for the year.

 

  1. Does the booster club make money from the fees charged for summer baseball, fall baseball and winter workouts?

No, these programs are all priced at a “break-even proposition” and are not designed to raise money for the program. However, when the board calculates the cost for these programs, they are generally estimated on the high end to reduce the risk of losing money. For example, after estimating all costs associated with each team in the Summer Baseball program, the cost-per- player amount is determined by dividing the total cost per team by the number of players expected to participate on that team. Costs for these programs include: umpires, league fees, tournament fees, uniforms, field maintenance, coaching stipends, and travel expenses as necessary. IF the board underestimates costs projections, or doesn’t enforce the payment policy, the club runs the risk of losing money.

    5.    How is the coaching staff paid for its time throughout the year?

The school district budget pays up to six members of the coaching staff during the high school season only. Any additional coaches who are involved receive some compensation from the booster club. The club also pays a small stipend to coaches for their time during the summer and fall seasons, and for their time coaching during winter workout sessions. When traveling out of town for summer tournaments, the club usually covers the hotel costs for coaches. Generally the coaches will provide their own transportation, meals, and incidentals.

 

  1. What are the fundraising opportunities made available to players to help offset costs? Grandview players can offset their own costs associated with playing high school baseball. The best opportunity is by selling as many Rockies tickets as they can. Credit for summer fees can also be earned by selling business ads for the program guide, and ads for the outfield banners and scoreboard signs and King Soopers cards.

 

  1. What about financial hardship?

The booster club strongly believes that financial hardship shouldn’t be the determining factor in playing baseball. As a result, the club offers several options to accommodate families in this situation. These options include making monthly payments toward fees and accepting credit cards as a form of fee payment. If this is still not enough for a family to cover their baseball expenses, the club occasionally offers financial hardship scholarships. Please contact Coach Henry or a board member if you are in need of any of these options or to request a financial hardship application.

 

  1. I see that the booster club is a 501c3 organization. What does this mean?

In Spring, 2009, the club applied for and was granted tax exempt status as Wolves Baseball Boosters under section 501 (c) (3) of the Internal Revenue Code. The club is classified as a public charity by the Internal Revenue Service. Contributions to the club are tax deductible under section 170 of the Code. The club is also qualified to receive tax-deductible bequests, devises, transfers or gifts. Up until now, the majority of our financial earnings have come from fundraisers. The hope in the future is to obtain sponsors and donors to back our program for major improvements, like bleachers and indoor facilities. If you or someone you know is interested in sponsoring our program, please contact any board member.

 

  1. How can I volunteer to help?

There are countless opportunities for you to help. First, we have a year-round need for field maintenance help. Likewise, throughout the spring and summer seasons, there is always a need for volunteers to work the Snack Shack. The club will often utilize a “Team Mom or Dad” to help during these seasons as well. In addition we have numerous events and committees that require leadership and support.     10.    How does the booster club board work?

Any club member can be nominated for a position on the board. Elections are held during the Mandatory Parent Meeting/First Pitch dinner in the spring. Board members serve one-year terms that run April through March (the Treasurer office runs during fiscal year January through December). General responsibilities include board and club meeting attendance, support at all major social functions, and a considerable amount of behind-the-scenes work. Specific officer responsibilities are listed in the by-laws. Board members are not compensated for their time and pay all the same fees as non-board members.
